Data Retention Policy

The Chablais Language Center is committed to complying with legal obligations regarding data protection,
particularly the Swiss Federal Data Protection Act (FADP). This policy outlines the retention periods for personal data.

Enrolled Students’ Data

Personal data related to registrations (contact details, test results, payments) is retained for 3 years
after the end of the last course. This retention period is required for administrative, accounting, and legal purposes.

Employee and Former Employee Data

  • Data concerning working time and rest periods is retained for 5 years after their validity,
    in accordance with Article 46 of the Labour Act (LTr) and Article 73 of Ordinance 1 (OLT 1).
  • Salary records for accident insurance are kept for 5 years after the end of the civil year
    in which the last data was recorded, under Article 116 of the Accident Insurance Ordinance (OLAA).
  • Medical certificates are retained for 5 years after the end of the incapacity to work.
  • Salary-related claims are retained for 5 years from the date they become due.
  • Data related to employment certificates (such as job nature and duration) is retained for 10 years
    after the end of the employment relationship.

Job Applicant Data

Files of unsuccessful applicants are retained for 6 months. With the applicant’s consent,
this period may be extended to 1 year for potential future opportunities.

Accounting and Administrative Data

All data used for invoicing or accounting purposes is retained for 10 years,
in accordance with Article 958f of the Swiss Code of Obligations.

Data Deletion or Anonymization

Once the legal retention periods have expired, data is either securely deleted or anonymized
if needed for statistical purposes.

Rights of Data Subjects

Any data subject may request access, transfer, correction, objection, or deletion of their personal data,
unless a legal obligation prevents it. Requests should be addressed to:
